Job Description – Tendering sales (Solar Module Supply)

The tendering person – Solar Module Supply is responsible for managing the complete tendering lifecycle related to solar PV module supply for Emmvee Photovoltaic Power Limited. The role supports business development objectives by ensuring timely, accurate, and compliant participation in government, PSU, state utility, and large EPC tenders.

The role involves continuous tracking and identification of relevant tenders issued by central agencies such as SECI, NTPC, NHPC, NLC, and SJVN, as well as state DISCOMs, renewable energy agencies, and leading EPC contractors. Tenders are monitored through platforms including CPPP, GeM, state e-procurement portals, and client-specific tender portals, with all opportunities recorded and tracked through internal MIS systems.

The Tender Manager is responsible for evaluating tender documents to assess technical eligibility, commercial feasibility, delivery schedules, payment terms, liquidated damages, and compliance requirements. This includes ensuring adherence to MNRE guidelines, ALMM requirements, and applicable BIS and IEC certifications. Bid or no-bid decisions are finalized through coordination with Sales, Finance, and Operations teams and subsequent management approval.

Upon approval to participate, the Tender Manager prepares and compiles complete tender submissions, including technical bids, commercial bids, and detailed compliance statements. The role ensures accuracy, completeness, and alignment with tender conditions, and is accountable for timely submission and maintenance of submission records and acknowledgements.

The position requires close coordination with internal stakeholders to support pricing strategy and commercial structuring. Inputs related to module technology, wattage, manufacturing capacity, logistics, and market conditions are consolidated to support competitive and commercially viable bids, with final pricing approved internally prior to submission.

The Tender Manager also handles all activities related to Earnest Money Deposits and Bank Guarantees, including submission, tracking of validity, extensions, and release. Coordination with banks and internal finance teams is an integral part of the role to ensure compliance with tender and contract requirements.

Post-tender responsibilities include tracking bid opening results, managing clarifications, supporting negotiations, and reviewing Letters of Intent or Letters of Award. Any deviations from tender terms are highlighted to management, and acceptance is coordinated after internal approval.

Following order award, the Tender Manager facilitates a structured handover of confirmed orders to Production, Supply Chain, and Dispatch teams, ensuring clarity on delivery schedules, quantities, and billing milestones. All contracts, purchase orders, and guarantee-related documents are archived systematically for future reference.

The role includes preparation and maintenance of regular MIS reports covering tender participation, order conversion, win–loss analysis, order values, and the status of EMDs and Bank Guarantees. Market intelligence and competitor observations are also shared with management as part of ongoing reporting.

The Tender Manager is expected to ensure compliance with company policies, statutory requirements, and audit standards, while maintaining clear documentation and communication to support continuity and operational efficiency.
